Booking & payment
- Booking Process: All bookings must be made using Ascent Guides’ official booking form.
- Deposit: A non-refundable deposit of 25% of the total trip cost is required upon booking to secure your reservation.
- Final Payment: The remaining balance must be paid no later than eight weeks prior to the expedition start date.
- Late Bookings: For bookings made within eight weeks of the start date, full payment is required at the time of booking.
CANCELLATION BY participant(s)
- Notification: All cancellations must be submitted in writing via email.
- Refund Policy:
- Cancellations made more than eight weeks before the start date will forfeit the 25% deposit.
- Cancellations made between four and eight weeks before the start date will incur a charge of 50% of the total trip cost.
- Cancellations made less than four weeks before the start date will result in a charge of 100% of the total trip cost.
- Cancellation Insurance: Participants are strongly advised to obtain comprehensive travel insurance that covers trip cancellations, medical emergencies before the trip, and other potential risks.
Cancellation by ASCENT GUIDES
- In the unlikely event that Ascent Guides must cancel an expedition due to unforeseen circumstances (e.g., natural disasters, political instability), participants will be offered an alternative date or a full refund.
- Ascent Guides is not responsible for any additional expenses incurred by participants in preparation for the trip (e.g., equipment purchases, visa fees, vaccinations).
Travel Documentation
- Passport: Participants must possess a valid passport with at least six months’ validity from the return date.
- Visa: Obtaining the appropriate visa for entry into Nepal is the responsibility of the participant.
health & Fitness
- Medical Conditions: Participants must disclose any pre-existing medical conditions, allergies, or dietary requirements on the booking form.
- Fitness Level: Given the demanding nature of high-altitude trekking & rafting, participants should ensure they are in suitable physical condition.
- Medical Treatment: In the event of illness or injury, Ascent Guides may arrange for medical treatment at the participant’s expense.
insurance
- Comprehensive travel insurance is mandatory for all participants.
- The insurance policy must cover high-altitude trekking, rafting, medical emergencies, evacuation, trip cancellation, & personal liability.
- Proof of insurance must be provided before trip.
Itinerary Changes
- Ascent Guides reserves the right to modify the itinerary due to factors beyond our control, such as weather conditions, trail closures, or safety concerns.
- Any changes will be communicated to participants promptly.
participant conduct
- Participants are expected to adhere to the instructions of guides & expedition leaders at all times.
- Behaviour that jeopardises the safety or enjoyment of others may result in the participant being asked to leave the expedition without refund.
equipment & gear
- Participants are responsible for bringing appropriate personal gear as outlined in the equipment list provided by Ascent Guides.
- Rental options may be available upon request.
liability
- Ascent Guides will take all reasonable precautions to ensure the safety & well-being of participants.
- However, participants acknowledge that adventure activities carry inherent risks.
- By booking with Ascent Guides, participants accept these risks & agree that, to the fullest extent permitted by law, Ascent Guides shall not be held liable for any loss, injury, or damage sustained during the expedition.
